Frequently Asked Questions
Find out more about Woodfords Managed Services, products we supply and more – here are some frequently asked questions, and our team is always on hand to answer any other queries you may have.
What does the software allow me to do?
Track your usage in real time, see your stock levels, who is using what, assign consumables to a cost centre or a specific job to track the cost per job and charge it out correctly. It frees up the time it takes for you or your team to manage your consumables by passing the responsibility over to our managed services team. Most importantly, it allows you to control the cost of your consumables with accountability on site in real time as the system is a live operating system.
Is the product costs higher than just buying as needed?
No, we do not load our pricing to make up for not charging for the system. We are competitive, but we will not necessarily be the cheapest out there. The service we provide is labour intensive and is costly so like any business, we need to make money to be able to continue to provide this high level of service, but our pricing is also transparent, and we are very open about this element of our business. We focus more on the value of our service rather than the cost of the product.
Can I add or remove products from the initial agreed range?
Yes, the system is easy to change and update, products can be added or removed whenever necessary. We do suggest an initial 3 month period to settle in and review after this point, but should anything be needed within this period, the system is very flexible and reacitve.
Do I need to spend a certain amount to get a managed system?
No, there is no minimum amount you need to spend each month to have the standard system. Everyone can benefit from our services.
What if the stuff I use is not "normal" consumables?
One of the advantages of working with an independent business like us is that we are not tied down to a catalogue. If we can source it we will supply it. For us there is no "normal" there is just a customer with a need that we can satisfy.
I see your main warehouse and office is in Woking, what areas do you cover?
While our main office and warehouse is in Woking, boasting a stockholding of nearly 20 000 products on the shelf, we also have another branch in Mitcham, and a central DC in Dartford carrying nearly 35 000 products available next day. We currently service the south of England including but not limited to Hampshire, Middlesex, Berkshire, Oxfordshire, Surrey, Eat and West Sussex, Kent and Essex, as well as London with plans to expand further in 2026 and beyond to include all the home counties and more. If you are not currently in one of our service areas, get in touch and we can have a conversation around what we can do for you. We are not exclusive to these areas.
Does the service cost anything?
We always aim to provide everything at no initial cost you. But, we are also a business so this is not always possible, however we are very transparent and will discuss the options with you in our initial visit. It depends on what you would like us to provide over and above the standard managed system, but, the managed system will not cost you anything.
What happens if I run out of something?
This should never happen, but as you would rely on us to supply, we in turn rely on our manufacturers we deal with to be ale to supply. In the unlikely event (it does happen though, and no one can promise you it won't) that you do run out of something, it becomes our responsibility to resolve it whether that is using an alternative supply source or proposing an alternative until normal supply chain is resumed. it is important to remember however, you will not carry the cost of any additional incurred costs should this happen. It is our responsibility to supply and we will ensure this is done.
Is there a minimum period or contract?
There is an initial 24 month period (12 month optional withdrawal) which is important as the hardware we supply incurs cost to us, the initial cost of the stock we supply as well as the licence cost of the software we supply. There is clauses in the agreement that require both parties to meet certain requirements, should these not be met, there is an early exit option, so should we for whatever reason not fulfil our responsibility, you could exercise the exit clause, as could we should the bills not be paid on time.
What kind of business do I need to run to qualify for managed services?
While there is no specific business you need to have to use our services, our expertise lies in the industrial sector, engineering, MRO, manufacturing and fabrication, but if you are interested, get in touch and we can discuss your requirements in more detail.
What terms do you offer?
Our standard terms are 30 days End of Month. We are quite strict on our terms that are agreed. if you currently have different terms and wish to discuss these in more detail, we can do this in our initial meeting.
Some of the products we use are difficult to find in the UK, can you source products internationally?
We regularly bring in product form the US and Europe, and also have supply chains set up through to the far east. We work with a dedicated shipping partner who is invaluable when securing a reliable transport network internationally, and all our local or domestic deliveries are conducted on one of our own fleet of vans, or through our domestic partner DHL.
